1. Introduction

Karwon Composites L.L.C ("Karwon", "we", "us", "our") respects your privacy and is committed to handling personal data lawfully, fairly and transparently.

This policy explains what personal data we collect through our website at karwon.ae (the "Site") and through our business dealings with you, why we collect it, who we share it with, and what rights you have.

We are the data controller in respect of the personal data described in this policy.

We process personal data in accordance with Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data of the United Arab Emirates and its implementing regulations, together with any other applicable data protection law.

2. Who this policy applies to

This policy applies to visitors to the Site, people who submit an enquiry or request for quotation, people who request a technical datasheet, our customers and prospective customers, and our suppliers and business contacts.

Our Site and our business are directed at businesses and business users. The Site is not directed at children and we do not knowingly collect personal data from anyone under the age of eighteen.

3. Personal data we collect

Information you give us directly

• Name
• Company or organisation name
• Business email address
• Mobile or telephone number
• Country or location
• The content of your enquiry, including product requirements, quantities, specifications, drawings and target timelines
• Correspondence with us by email, WhatsApp, telephone, LinkedIn or in person
• Where you request a technical datasheet, the email address, company name and mobile number you provide in the download form
• Where we transact, commercial and administrative details such as delivery addresses, purchase order references, trade licence details, tax registration details, and the name and contact details of your staff involved in the order

Information we collect automatically

When you visit the Site we and our service providers may collect technical information including your IP address, approximate location derived from it, browser type and version, device type, operating system, referring page, pages viewed, and the date and time of your visit. This is collected through server logs and cookies or similar technologies. See section 9.

Information from other sources

We may receive your business contact details from publicly available sources such as company websites, professional networks such as LinkedIn, trade directories, exhibition and event lists, and from referrals or introductions made by mutual contacts and business partners.

We do not seek to collect sensitive personal data through the Site. Please do not submit it.

4. Why we use your personal data, and on what basis

Where we rely on your consent, you can withdraw it at any time by contacting us at info@karwon.ae or by using the unsubscribe link in any marketing email. Withdrawing consent does not affect processing carried out before withdrawal.

5. Marketing communications

If you provide us with your contact details through an enquiry, a datasheet request, or in the course of doing business with us, we may contact you about products, availability, technical developments and company news that we consider relevant to your business.

You can opt out at any time, at no cost, by clicking unsubscribe in any email, replying with "unsubscribe", or emailing info@karwon.ae. We will continue to send you communications necessary to service an active enquiry or order.

6. Who we share your personal data with

We do not sell your personal data.

We share personal data only where necessary, and only with:

1. a. Service providers who operate our systems on our behalf, including our website hosting and deployment provider, our domain and network provider, our transactional email provider, our business email and productivity provider, and the workspace tool in which we record and manage enquiries. These providers process personal data on our instructions and are bound by confidentiality and data protection obligations.
2. b. Supply chain and logistics parties, where necessary to fulfil an order, including manufacturers and suppliers, freight forwarders, shipping lines, customs brokers and delivery agents.
3. c. Distribution and channel partners, where an order is placed or invoiced through a partner arrangement, and only to the extent necessary for that transaction.
4. d. Professional advisers, including our accountants, auditors, bankers, insurers and legal advisers.
5. e. Government and regulatory authorities, including customs, tax and licensing authorities, where required by law or in connection with an import, export or compliance obligation.
6. f. A purchaser or successor, in connection with any sale, restructuring or transfer of our business or assets.

7. International transfers

We are based in the United Arab Emirates. Some of our service providers store or process data outside the UAE, including in the European Union, the United Kingdom and the United States. Where an order involves manufacturers, suppliers or logistics parties outside the UAE, relevant contact and shipping details may be transferred to that country.

Where personal data is transferred outside the UAE, we take reasonable steps to ensure that it is transferred only to a jurisdiction with an adequate level of protection, or under appropriate contractual safeguards, or with your consent, or where the transfer is necessary to perform a contract with you, in each case as permitted under applicable UAE data protection law.

8. How long we keep your personal data

• Enquiries that do not lead to business: up to twenty four months from our last contact with you, after which they are deleted or anonymised.
• Datasheet download records: up to twenty four months from the download, unless you become a customer.
• Customer and supplier records, including orders, invoices and shipping documents: for the period required by UAE commercial, tax and customs law, and in any event not less than five years from the end of the relevant financial year.
• Marketing contact records: until you opt out, and for a short period afterwards to record and honour your opt-out.
• Website technical logs: typically no more than twelve months.

We may retain personal data for longer where necessary to establish, exercise or defend a legal claim.

9. Cookies and similar technologies

The Site uses cookies and similar technologies.

• Strictly necessary cookies allow the Site to function, to route requests, to balance load and to protect against abuse. These cannot be switched off through the Site.
• Analytics and performance technologies, where used, help us understand which pages are visited and how the Site performs, so that we can improve it. Where required, these are set only after you consent.

Our analytics do not use cookies and do not track you across other websites.

Most browsers allow you to block or delete cookies through their settings. Blocking strictly necessary cookies may prevent parts of the Site from working correctly.

10. Security

We use appropriate technical and organisational measures to protect personal data, including encrypted connections to the Site, access controls on our email and workspace systems, multi-factor authentication where available, and limiting access to those who need it.

No method of transmission or storage is completely secure. Where we become aware of a personal data breach that presents a risk to your privacy, we will notify the competent authority and, where required, affected individuals, in accordance with applicable law.

11. Your rights

Subject to the conditions and exceptions in applicable UAE data protection law, you have the right to:

• Request access to the personal data we hold about you, and information about how we process it
• Request correction of inaccurate or incomplete personal data
• Request erasure of your personal data in certain circumstances
• Request restriction of processing in certain circumstances
• Object to processing carried out on the basis of our legitimate interests, and object to direct marketing at any time
• Request transfer of personal data you provided to us, in a structured, commonly used, machine readable format, where technically feasible
• Withdraw consent where our processing is based on consent
• Lodge a complaint with the competent data protection authority in the United Arab Emirates

To exercise any of these rights, contact us at info@karwon.ae. We may ask you to verify your identity before acting on a request. We will respond within the period required by applicable law.

12. Third-party sites and platforms

The Site links to third-party platforms, including LinkedIn and WhatsApp. When you contact us through those platforms, or follow a link to them, your data is also handled under that platform's own privacy policy, over which we have no control. We recommend you review their policies.

13. Changes to this policy

We may update this policy from time to time. The current version is always published at karwon.ae. Where changes are material, we will take reasonable steps to bring them to your attention. The "Last updated" date at the top shows when this policy was last revised.
